1. Introduction
This Privacy Policy explains how DODEAL ("DODEAL", "we", "us" or "our") handles information in connection with DODEAL AI Call Intelligence (the "Service") and the website at brain.dodeal.com (the "Website"). More information about DODEAL is available at www.dodeal.com.
The Service is a business-to-business product for real-estate companies. It helps a customer company understand and improve the sales calls its agents make and receive. We have written this policy to be clear and practical, and we encourage you to read it in full.
2. Who is responsible for call data
When a customer company uses the Service, that company decides which calls are recorded, why they are recorded and how the results are used. For this reason, the customer company is the controller of the call data. DODEAL processes call data on the customer's behalf and in accordance with the customer's instructions, as set out in our agreement with that customer.
If you are a client or an agent of one of our customers and you have questions about how your calls are recorded or used, please contact that company first, as it is best placed to answer. We will support our customers in responding to such requests.
For information we collect directly through the Website, such as demo requests, DODEAL is responsible for that information as described in this policy.
3. Information we process
3.1 Call data processed for customers
- Audio recordings of sales calls made or received on company phones on which the customer has installed our recorder app.
- Call details such as date, time, duration and the phone numbers involved.
- Transcripts generated from those recordings.
- Analysis generated by the Service, including identification of agent and client speakers, agent scores, detected phone numbers and meetings, lead grade, client type, coaching tips and client summaries.
3.2 Account information
- Names, work email addresses and roles of the customer's managers and team members who use the dashboards.
- Login credentials, stored in a protected form, and basic records of account activity needed to keep the Service secure.
3.3 Billing information
- Company details, subscription plan, usage such as minutes and number of agents, invoices and payment status.
3.4 Website visitors and demo requests
- If you submit the demo-request form, we collect your name, company, email, phone number, team size and your message.
4. How we use information
- To provide the Service to our customers: recording upload, transcription, analysis and dashboards.
- To create and manage user accounts and role-based team access.
- To keep the Service secure, prevent misuse and resolve technical issues.
- To calculate usage, issue invoices and manage subscriptions.
- To reply to demo requests and arrange a demo. Information from the demo-request form is used only for this purpose.
- To comply with applicable laws and regulations.
We do not sell personal information, and we do not use call data for advertising.
5. Customer responsibilities
Because the customer company controls the call data, it is responsible for informing its clients and agents that calls are recorded and analysed, and for having a lawful basis, including consent where required, under applicable laws and regulations. Customers must only upload calls that they have the right to process.
6. Where processing takes place and optional cloud AI
Processing of call data runs on servers operated by DODEAL. By default, call data is not sent to any third-party AI provider.
A customer may choose to enable an optional cloud AI fallback provider for transcription or analysis. This option is off by default. Only if a customer enables it may call data be sent to that third-party AI provider, and only for the purpose of providing transcription or analysis for that customer.
7. Security
We take reasonable technical and organisational measures to protect information, including:
- Encryption of recordings at rest.
- Password-protected accounts for access to dashboards.
- Role-based team access, so users see only what their role allows.
No system can be guaranteed to be completely secure. If we become aware of a security incident affecting customer data, we will inform the affected customer and act in line with applicable laws and regulations.
8. Retention
- Recordings are kept for the retention period included in the customer's subscription, which may be 1, 3, 6 or 12 months, or as otherwise agreed.
- Transcripts and analysis are kept for the duration of the contract, or longer where required by law.
- Invoices and billing records are kept for the duration of the contract or as required by law.
- Demo-request information is kept only as long as needed to respond and follow up on the request.
Customers can request deletion or export of their data at any time. At the end of a contract, company phones are reset to factory software, and DODEAL software and data on those phones are removed.
9. Sharing of information
We share information only as needed to provide the Service or as required, for example:
- With the customer company and its authorised users, according to their roles.
- With a cloud AI fallback provider, only if the customer has enabled that option.
- Where required by applicable laws and regulations, or to protect the rights and safety of our customers, users or DODEAL.
10. Your choices and requests
If you are a client or agent of a customer company, please direct requests about your call data to that company. We will assist the customer in handling access, correction, deletion or export requests.
If you submitted a demo request, you may ask us to access, correct or delete that information through the contact form on brain.dodeal.com.
11. Cookies and tracking
The public Website does not use advertising trackers. We may use cookies or similar technologies that are strictly necessary for the Website and the dashboards to function, such as keeping you signed in securely.
12. Children
The Service and Website are intended for businesses and are not directed at children.
13. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the date at the top of this page and, where appropriate, notify customers in advance.
